Register & Manage Organization Players

An organization keeps a single master pool of every player across all its affiliated teams and competitions. This guide covers how players enter that pool, the registration statuses and eligibility states each one carries, the bulk operations that let you act on dozens at once, and the medical document tracking that gates who is allowed to play.

Who this is for

Player registration is an Organizer action on a Federation, Association, or Club organization — these are PRO-plan organizations. Community / Friends Groups have a lighter-weight player list and are exempt from the medical requirements described below. This guide is the deep dive behind the Organization Players section of the Organization Profile guide.

Registering a Team's Players

When a team connects to your organization, you register its roster into the org pool from the player-registration screen. The screen splits the team's roster into three buckets so it is always clear who is already in, who is available, and who you are about to add.

Bucket What it contains
Registered Players already registered to the organization. Shown for reference — no action needed.
Unregistered Players on the team who are not yet in the org pool. These are the candidates you can move into the staging bucket.
To register A staging bucket for the players you have selected this session. Nothing is committed until you submit — moving a player here is reversible.

Open the team's registration screen

From the organization, open the connected team and choose to register its players. The screen loads the roster and sorts it into the Registered and Unregistered columns.

Move players into "To register"

Tap a player in Unregistered to stage them, or use Add all to stage the whole roster at once. Staged players move to the To register bucket.

Resolve real-profile requirements

If the organization requires real profiles, players without a real 4league profile cannot be staged. They stay in Unregistered with a note until a real profile is linked.

Submit the registration

Confirm to register everyone in To register in a single batch. They move into the org player pool and the Registered count updates.

Example: Registering a newly affiliated club's squad

FC Eagles connects to the County FA with a 22-player roster. Eight are already in the org pool from last season (Registered). The secretary taps Add all, the remaining 14 move to To register, and one player without a real profile stays behind flagged. She links his profile, stages him too, and submits — all 14 register in one batch.

Registration Status

Every registration carries a status that reflects where it stands in its lifecycle. New registrations start as Pending.

Status Meaning
Pending The default for a new registration — awaiting review and activation.
Active The registration is live and the player counts as registered for the season.
Suspended Temporarily blocked. A suspension can carry a reason and an end date.
Expired The registration period has lapsed — e.g. at season end. Re-register to renew.
Incomplete The registration exists but is missing required fields or documents.

Eligibility

Separate from status, each registration carries an eligibility flag that answers "can this player actually be fielded?". New registrations default to Eligible.

Eligibility Meaning
Eligible The player meets all requirements and can be fielded.
Ineligible The player does not meet requirements (e.g. expired medical) and cannot be listed in lineups.
Conditional Some — but not all — requirements are met. Field with caution; review what is outstanding.

Only team owners and organizers can change status or eligibility

Status, eligibility, suspension reason, and suspension end date can only be edited by a team owner or an organizer. Anyone else attempting the change is rejected. This keeps disciplinary and eligibility decisions in authorized hands.

Bulk Operations

The organization player list has a multi-select mode for acting on many players at once — invaluable at season transitions. Each bulk action is restricted to organization admins.

Enter selection mode

On the organization Players tab, switch on selection mode. A selection bar appears at the bottom of the screen with a running count.

Select players

Tap individual players to toggle them, or use Select all to grab everyone currently shown. Filter the list first to target a specific subset before selecting all.

Pick a bulk action

From the selection bar, choose one of the actions below. The action runs against every selected player and reports which were applied and which were skipped.

Clear the selection

When finished, clear the selection to exit multi-select mode and return to the normal list.

Bulk action What it does
Promote players Move selected players to a target team — ends their current active assignments and creates a new one on the chosen team.
Assign to team Add selected players to a team without ending their existing assignments.
Register to competition Register selected players to a chosen competition in one pass.
Change status Set registration status across the selection. Bulk status supports active, suspended, pending, and expired.
Export list Export the selected players as a CSV — name, position, birth date, national ID, registration status, team, and shirt number.

Bulk actions require organization-admin rights

Every bulk endpoint — promote, assign-to-team, register-to-competition, and change-status — is gated to organization admins. Export is restricted to the organization owner. A member without admin rights will not be able to run these.

Example: End-of-season promotion

At season turnover the secretary filters the pool to the U15 squad that has aged out, enters selection mode, taps Select all (50 players), and runs Promote players to the U18 team. The app ends their U15 assignments, creates U18 ones, and reports 48 promoted, 2 skipped (already on U18). She then exports the U18 list as a CSV for the registrar.

Medical Documents

When an organization requires medical clearance, each player's eligibility is tied to a medical clearance document with an expiry date. The org tracks these and warns you before they lapse.

Medical Status

A clearance moves through the following states. The first three are set by an organizer reviewing the document; the last two are applied automatically as the expiry date approaches and passes.

Medical status Meaning
Pending Submitted and awaiting review.
Approved Reviewed and accepted; valid and not near expiry.
Rejected Reviewed and declined — a rejection note is supplied and a reupload can be requested.
Expiring soon Approved but inside the warning window — renew before it lapses. Set automatically.
Expired The expiry date has passed; the clearance no longer counts. Set automatically.

Expiry Warnings

Each organization sets how many days before expiry a clearance flips to Expiring soon via the medical expiry warning-days setting. Once that window opens, the clearance is surfaced for renewal; once the date passes, it becomes Expired and the player's eligibility is affected.

Tune the warning window to your renewal turnaround

If clearances in your region typically take two weeks to renew, set the warning-days value comfortably above that — e.g. 30 days — so players and managers have time to act before the document ever expires.

Requiring Medical Clearance

Whether medical clearance is required is controlled by the organization's require-medical setting, and it is inherited down the organization hierarchy. If a parent organization requires medical clearance, its child organizations inherit that requirement even if they did not enable it themselves.

Community / Friends Groups are always exempt

Community / Friends Group organizations never require medical clearance — the requirement is forced off for this type even if a parent in the hierarchy requires it. Medical tracking applies to Federations, Associations, and Clubs only.

Example: Inherited requirement with a warning window

The National Federation requires medical clearance and sets a 30-day warning window. A County FA affiliated below it inherits the requirement automatically. As the season runs, players whose clearance falls within 30 days of expiry flip to Expiring soon and appear for renewal; any that lapse become Expired and the players turn Ineligible until a fresh clearance is approved.
